III. PARTIAL WEDDING & EVENT PLANNING, PARTIAL DESIGN & PRODUCTION

This experience is for the busy couple or host who appreciates detailed event design and wants to stay in charge, while being supported by our expertise. You will be armed with strong foun-dation: vendor recommendations, software support, & continued touch-point communication from our Team.

IV. WEDDING MANAGEMENT AND COORDINATION:

A limited amount of packages are available each season. We help manage all logistics when it comes to the wed-ding/event day. We help establish and maintain the wedding/event integrity, timelines, diagrams, & the tedious details. On the wedding day, we will be there from start to finish. You will be armed with strong foundation: vendor recommendations, software support, & continued touch-point communication from our Team.

INCLUDED IN ALL PACKAGES ABOVE:

DAY OF EVENT:
• Arrive to ensure that all vendors are greeted & directed
• Receive all Vendors, Family & Venue staff as a liaison
• Welcome client and ensure their comfort the entire day
• Place all items passed from client per their vision
• Manage the timeline to ensure the day is timely
• Connect with Banquet Captain or Event Manager to confirm venue needs
• Support all vendors & venue to be ready for guest arrival
• Greet the guests as they arrive and direct them & address any queries
• Provide a “happy heart” to set an efficient, yet seamless day ahead

CEREMONY OR ARRIVAL EXPERIENCE:
• Ensure all items are placed: Welcome table, favors, programs, signage
• Ensure all catering requirements are placed, water, champagne, bar, etc.
• Coordinate music or processional – line up and cue the bridal party/host for grand entrance
• Forward think to ensure cocktail food, bar and signature drinks are prepared
• Ensure all cocktail area is set are ready to receive guests
• After ceremony or opening arrival, direct all family, bridal party, guests to next chapter
• Ensure all items are collected, transferred and re-purposed from Ceremony based on clients vision

COCKTAILS:
• Liaison with Venue Banquet/Event Manager to confirm food & beverage timing
• Designate associate to assist photo/video if needed to capture client’s photo list
• Bride & Groom love: Champagne, plate of food, bustle dress, preview next steps
• Assemble family, client or clergy to assist in marriage, ketubah signing of legal documents
• Ensure all vendors are set, banquet team ready, music cued, & detail shots complete before dinner

RECEPTION:
• Ensure all items are collected, transferred and re-purposed from cocktails based on clients vision
• Confirm with Venue Banquet captain before opening doors – Cue music with band/DJ/Emcee
• Place 1-2 associates from BV to guide & assist guests with table seating
• Ensure all items are collected, transferred and re-purposed from cocktails based on clients vision
• Secure all gifts & cards to the designated person or place
• Continued communication with Banquet team to ensure timing, meal selections and any special requests
• Be alert, and armed with guest evaluation, and timeline adjustments to stay on a timely manner
• End of event, collect all items and pack designated car
• Distribute all gratuities to vendor team

POST-EVENT:
• Complete a final walk-through with venue to ensure all items & requirements have been met
• Ensure all hosts & guests have safely left the property & transportation management is complete
• All rentals & shortages are finalized

DEBORAH JAMES

CEO, Principal Planner & Event Visionary

Deborah, the founder of BVE, brings a unique & personalized approach, emphasizing individuality and fun. Born with “deep” Mediterranean roots, adopted into a 1st generation Italian & European family, & with a passion for Italian culture, food, art & wine; she was destined to seek “the Beautiful Life” a.k.a “la Bella Vita”! She began her career in bridal couture & catering, landing into the entertainment industry with NBC, in LA. She is a worldwide-traveled designer, who graduated from IDI, Interior design Institute, and whose diverse skill set includes: biblical counseling, budget expertise, & music production. During the planning process, she welcomes you with patience, a calm demeanor, and a seamless execution of your vision On event day, she leads her strong team with the qualities of focus, logic, strategic thinking, & quick problem-solving abilities. “It’s all about the client, and I would be honored to co-create a magical & memorable experience with you”.

Valentin Clerc

Client Liaison & Production Specialist

Valentin is Bella Vita Events’ full-time Client Liaison & Production Specialist.With a blend of French and Italian heritage, he brings an external event planning experience & hospitality essence. His European background, accent, and thoughtful approach make him a captivating presence.Valentin works closely with Deborah. He is the primary logistics & administrative liaison. He understands the client’s needs & brings structure to the planning journey. On event day, he oversees the event execution, coordinates with the vendors, & ensures the clients’ expectations are met. Valentin calmly advocates for everyone’s best interests. Alongside Deborah, he is dedicated to delivering exceptional value and flawlessly curated events.

Isabella Capozzi

Social Media Marketing Manager

Isabella, the Social Media Manager at Bella Vita Events, first began her journey as a Day-of Event Associate. With a BFA in Theater Performance and over six years of social media marketing experience, Isabella expertly manages platforms like Instagram, Pinterest, The Knot, and Wedding Wire. On event day, her positive energy is contagious, and grounding to allow our clients a peace of mind.

Senior Event Associate

Julie, our Senior Event Associate at Bella Vita Events, combines her background in television production & culinary arts. Founder of Culinary Champions, She’s fondly called our “Queen of the Kitchen”. Julie’s culinary background ignites her timing & team performance, an essential asset to every event. Her keen eye for detail, passion for perfection drives her to deliver extraordinary events.
